About

Detailed purchasing activity for the City and County of San Francisco is presented in this dataset, which is maintained by the Controller's Office. It records specific, commodity-level data stemming from purchase orders issued from the 2007 fiscal year onwards. The data includes payments made to suppliers and vendors for goods and services, alongside other non-supplier payments such as tax refunds and legal settlements. The purpose of this public resource is to display payments made to entities serving the City and County, with all sensitive personal information removed for protection. Additional records have been inserted to ensure document totals align between the City's purchasing and accounting systems.

Columns

The dataset contains twenty-two columns detailing various aspects of the transaction:
  • Fiscal Year: Represents the 12-month accounting period utilized by San Francisco, which begins on 1st July and concludes on 30th June the following year.
  • Purchase Order Date: The exact date the purchase order was officially issued.
  • Purchase Order: A unique identifier document used to reserve a specific sum of money designated for payment to a vendor for a particular purpose.
  • Purchase Order Line: Allocates a segment of the money reserved by the Purchase Order towards a specific category of good or service, linking it to a Commodity. Purchase Orders may contain multiple lines, up to a maximum of 249 lines observed in the data.
  • Contract Number: The unique identifier for the contract related to the purchase order, though this information is absent in 93% of records.
  • Contract Title: The descriptive name of the associated contract.
  • Purchasing Department: The organisational unit within the City and County of San Francisco responsible for purchasing activities. This differs from the department used for general accounting purposes.
  • Purchasing Department Title: The full title of the purchasing organisational unit (e.g., DPH Public Health, which accounts for 46% of records).
  • Post Date - Original: The initial date the document was recorded in the City’s accounting system.
  • Post Date - Current: The most recent date the document was posted to the accounting system, which may be later than the Original date if the document was subsequently modified and reposted.
